Health and Safety Policy
1. Policy Statement
MissionOpsAI Ltd (company registration number 14437210) is committed to ensuring, so far as is reasonably practicable, the health, safety, and welfare of all its directors, employees, contractors, and any other persons who may be affected by its activities. This policy is made pursuant to the Health and Safety at Work etc. Act 1974 and associated regulations.
The Company operates as a software and professional services business. Our work is conducted primarily through remote and hybrid working arrangements, with no manufacturing, heavy plant, or public-facing physical premises. Our risk profile is accordingly lower than many organisations; however, we take our legal obligations seriously and apply them proportionately and in good faith.
Compliance with this policy is mandatory for all directors, employees, workers, and contractors engaged by the Company.
2. Scope
This policy applies to all work conducted by or on behalf of MissionOpsAI Ltd, including:
- Remote working from home or other non-Company premises
- Work conducted at the Company's registered office or any temporary working location
- Work conducted at client premises or third-party sites
- Any activity undertaken in the course of Company business
3. Responsibilities
The CEO holds overall accountability for health and safety within the Company. This includes ensuring this policy is implemented, reviewed, and communicated to all relevant personnel, and that appropriate risk assessments are carried out.
All employees and contractors are responsible for taking reasonable care of their own health and safety and that of others who may be affected by their acts or omissions. They must cooperate with any health and safety measures implemented by the Company, report hazards and incidents promptly, and not interfere with or misuse anything provided in the interests of health and safety.
4. Risk Assessment
The Company carries out risk assessments proportionate to its activities and risk profile. The primary risks identified for a remote-first software and professional services company are:
Display Screen Equipment (DSE). All personnel who habitually use display screen equipment as a significant part of their work are entitled to a DSE assessment. The Company will provide guidance on workstation setup and will address identified risks so far as is reasonably practicable.
Lone working. Some employees and contractors work remotely without regular direct supervision. The Company maintains regular contact with all personnel and has clear channels for reporting concerns or incidents.
Mental health and wellbeing. The Company recognises the importance of mental health and seeks to create a working environment that supports wellbeing, manages workload proportionately, and provides access to appropriate support where needed.
Work-related travel. Where personnel travel on Company business, they are responsible for taking reasonable care for their own safety and must comply with all applicable road traffic, aviation, and other safety requirements.
Client and third-party premises. Where personnel work at client or third-party sites, they must observe the host organisation's health and safety rules and report any concerns to the CEO.
5. Incident Reporting and Investigation
All accidents, incidents, near misses, and work-related ill health must be reported to the CEO as soon as reasonably practicable. The Company will investigate all reported incidents, identify root causes, and implement appropriate corrective action to prevent recurrence.
Where an incident is reportable under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013 (RIDDOR), the CEO will ensure the appropriate report is made to the Health and Safety Executive.
6. First Aid
The Company maintains proportionate first aid provision appropriate to its risk profile. All personnel working in the field or at client premises should carry sufficient personal first aid provision and be aware of the first aid arrangements at any third-party site they visit.
7. Emergency Procedures
All personnel must be aware of the emergency procedures applicable to their working environment, including fire evacuation procedures at any premises they use. When working from home, personnel are responsible for maintaining appropriate emergency arrangements in their own workspace.
8. Consultation and Communication
The Company is committed to consulting with employees and contractors on health and safety matters that affect them. Concerns and suggestions may be raised directly with the CEO at any time and will be considered seriously and promptly.
9. Training and Information
All new employees and contractors will receive health and safety information relevant to their role and working environment as part of their onboarding. Additional training will be provided where a specific risk or requirement is identified.
10. Review
This policy will be reviewed annually and following any significant change in the Company's activities, working arrangements, or applicable legislation. The CEO is responsible for ensuring the review is carried out and that any necessary updates are implemented.
